Appointment preparation checklist

A few clear details can make a scheduled interpreting session easier to plan. Use this checklist with the requester and participant, and share only the information needed to arrange the session.

Confirm the request details

  • Preferred language and dialect, confirmed with the person who will use interpretation.
  • Setting and general subject, plus any relevant interpreter qualification or experience needs.
  • Date, start time, expected duration, location, and a contact for logistics.
  • In-person or external video format, including equipment or access needs.

Prepare without oversharing

Share a general agenda or non-sensitive terms that help explain the subject. Keep names, dates of birth, account numbers, medical record numbers, and detailed case information in your organization’s authorized systems.

Let participants know who will attend and how to ask for a pause or clarification. For school, healthcare, legal, and social-service settings, follow your organization’s own preparation rules.

On the day

For in-person sessions, choose a quiet place and arrange seating for direct conversation. For video, test the sound, connection, camera view, and lighting before the scheduled start.

Introduce participants, explain the purpose, and speak directly to one another. Afterward, review the session record and raise any discrepancy before payment.

Let’s plan the conversation.
