How scheduled interpreting requests are coordinated
Dispatch is the coordination work that connects an organization’s request with an interpreter who may fit it. For Lingfaro, Minnesota requests are scheduled for in-person or external video service. Availability, qualifications, and exact terms are reviewed for each request.
1. Describe the request
Share the setting, preferred language and dialect, general subject, date and time, expected duration, location or video arrangement, and any relevant interpreter qualifications. Give a contact for logistics and note access needs. Include enough context to evaluate the request while following your organization’s privacy rules and limiting unnecessary personal or case details.
If timing is flexible, provide options. If a participant’s language or dialect is uncertain, arrange to confirm their preference rather than selecting based on assumptions.
2. Review availability and proposed terms
The request is reviewed for language, dialect, setting, qualifications, location, schedule, and format. An interpreter may be identified as a potential fit, but the request is not committed just because it was submitted or a possible match was found.
The operator reviews the proposed details and terms before commitment. The client reviews and confirms the exact arrangement for that request. Resolve questions about the interpreter, time, format, amount, travel, or conditions before confirming. If availability or scope changes, the proposal may need another review.
3. Confirm the assignment
When the client confirms the proposed terms through the process provided, the assignment can be treated as scheduled. Make sure participants know the agreed date, arrival or video instructions, contact person, and any preparation details. Availability is reviewed for each request. If no suitable interpreter is available, the operator can discuss another practical option with the client, such as a different time or an external video session. The client reviews and confirms any revised terms before the assignment is scheduled.
4. Conduct and review the session
The interpreter prepares and conducts the session within their professional role. Afterward, the parties review the session record for the details presented, such as whether the session occurred and the reported time and format. Raise discrepancies for review. Keep official clinical, school, legal, and case records in the systems the organization authorizes; the session record does not replace them. The client-side contact should know who is authorized to confirm session details and how the interpreter can report a problem. A disagreement should go to the stated review path with the relevant assignment details, not be resolved by guessing or by overwriting a party’s account.
5. Payment follows session review
Once session details have been reviewed and any questions addressed, payment proceeds under the terms presented for the assignment. Payment and account details are entered through Stripe-hosted pages. Bank processing can affect when funds arrive. Each request is reviewed by an operator, and the client confirms the terms before the assignment is scheduled.
